Privacy policy

What we collect on the website and the game server, why, and your rights.

Effective date: 28 October 2026

This policy explains what personal information Verity RP (“we”, “us”) collects through the website verityrp.co.za and the Verity RP FiveM server, why we collect it, and the choices you have. We aim to handle personal information in line with South Africa’s Protection of Personal Information Act (POPIA).

Contact for privacy matters: verityfivem@gmail.com

1. Information we collect on the website

  • Steam identity. When you sign in with Steam, Steam confirms your Steam ID to us. We also read your public Steam display name and avatar. We never receive or store your Steam password.
  • Discord account (optional). If you link Discord, we store your Discord user ID, username and avatar reference. We use Discord only to identify you; we do not store Discord access tokens and we do not read your messages or servers.
  • Whitelist applications. Your answers, the date you applied, and the staff decision and reason. Staff may add internal review notes.
  • Support tickets. Your messages, any images you upload, and staff replies. Images are converted and stripped of hidden metadata (such as location data) before they are stored.
  • Account records. Your role, account status, whitelist status, notifications, and the dates you joined and last signed in.
  • Security records. For sign-ins and administrative actions we record the time, the action and the IP address involved. This helps us detect abuse and investigate problems.
  • Technical data. Our web server keeps error logs that can contain technical request details. We do not keep general visitor access logs, and we do not use advertising or analytics trackers.

2. Information we process on the FiveM server

When you connect to the Verity RP server, the FiveM platform provides us with identifiers for your accounts. Depending on what you have running, these can include your Cfx.re (FiveM) account ID, Rockstar licence identifiers, your Steam ID and your Discord ID.

We use and store:

  • Account identifiers, to recognise you and to check whether you are whitelisted on the website.
  • Character data: the characters you create, including name, date of birth, gender and nationality (all fictional), appearance and outfits, in-game money and bank transactions, job, needs, playtime and last location.
  • Moderation records: bans, warnings, in-game reports, admin jail and staff action logs, including the names of the players and staff involved.
  • Server management data: our server management tool (txAdmin) keeps player records including identifiers, hardware identifiers (used to enforce bans), display name, playtime and join dates, together with any bans or warnings issued.

We do not store your IP address in our game database.

3. Why we use your information

  • To run your website account and sign you in.
  • To decide and enforce who may join the server (the whitelist).
  • To provide support and respond to your tickets.
  • To keep the community safe: moderation, investigating reports, enforcing bans and preventing cheating or abuse.
  • To keep the website and server secure, and to fix technical problems.
  • To send you notifications on the website about your tickets, applications and account.

We rely on your use of our services (to provide what you asked for), and on our legitimate interest in running a safe and fair community.

4. Who can see your information

  • Other players see your display name, avatar and role where these appear on the website, and your character names and in-game appearance on the server. Your Steam ID, Discord details and application answers are not shown publicly.
  • Staff can see the information needed to support players and moderate the community. Access depends on their role, and sensitive actions are logged.
  • Service providers. Steam, Discord and Cfx.re (FiveM) process information under their own privacy policies when you use their sign-in or platform. Our server is hosted by a hosting provider that stores our data on our behalf. Discord receives short staff alerts when new tickets or applications arrive (subject and category only). When you open the Connect page, the streamer video players are loaded from Twitch, Kick or YouTube, which receive your IP address and browser details and may set their own cookies under their own policies.

We do not sell your personal information.

5. How long we keep information

  • Sign-in sessions end 24 hours after you sign in; you then sign in again.
  • Read notifications are deleted after 90 days.
  • Backups of the website database are kept for up to 30 days.
  • Tickets, applications, moderation and security records are kept while they are needed to run the community fairly and safely, including after an account is deleted (see below).
  • Game data is kept while the server operates or until deletion is requested and approved.

6. Deleting your account

You can request deletion under Account → Privacy on the website. When we delete an account, we remove the Steam link, Discord link, notifications and application answers, and your account is anonymised. Ticket conversations, moderation records and security records may be kept in anonymised form where they are needed to prevent abuse (for example, to keep a ban in force) or to meet legal obligations. To ask for your game data to be removed, email us or open a support ticket.

7. Your rights

Under POPIA you may ask us to tell you what personal information we hold about you, to correct it, or to delete it, and you may object to how we use it. Email verityfivem@gmail.com and we will respond within a reasonable time. If you are not satisfied with our response, you may complain to the Information Regulator (South Africa): inforegulator.org.za.

8. Age

Verity RP is an 18+ community. We do not knowingly collect information from anyone under 18. If we learn that an account belongs to someone under 18, we may remove it.

9. Security

We protect information with encrypted connections (HTTPS), restricted access for staff, separate database accounts with limited permissions, and regular backups. No system is perfectly secure, so please keep your Steam and Discord accounts protected.

10. Changes

We may update this policy as Verity RP changes. We will post the new version here with a new effective date, and may also announce important changes on the website.
